Job Description/Duties and Responsibilities/Requirements

Position: Operations Associate

Location: Remote (Central/Eastern Time Zone Preferred)

Company: INS Regulatory Insurance Services, Inc.

Hiring & Recruitment 

  • Organize hiring and onboarding information into Teams spreadsheet. This includes saving and linking resumes and introductory emails or cover letters, updating interview status, and populating cells with information from linked or external documents.  
  • Schedule and complete screening interviews. 
  • Schedule additional interviews with staff and document all interview notes.
  • Complete reference checks and social media checks for all interviewing candidates.   
  • Distribute and process Background checks. 
  • Post jobs on Recruiting websites and monitor applications, prescreening candidates.
  • Routinely update Hiring & Recruitment folder on ShareFile with candidate information. 
  • Report new hires and candidate status to managers on a weekly and biweekly basis, respectively.
  • Manage social media and recruitment websites, including LinkedIn, Glassdoor, Handshake, and Indeed. 

Onboarding 

  • Coordinate with onboarding staff and compose onboarding schedules for new hires using Canva. 
  • Develop and maintain the New Hire Training and Onboarding Portal for The INS Companies.
  • Manage onboarding and preboarding for new hires.
  • Add new hires to Onboarding Portal.
  • Track preboarding status and form completion. 
  • Track delivery of company computers when applicable.

Team Maintenance 

  • Update and create resumes and bios for new hires and existing team members on a regular basis.
  • Update Examiner Credential Spreadsheet weekly.

Content Creation

  • Develop brand guidelines for The INS Companies. 
  • Assist with PowerPoint formatting for conference presentations. 
  • Send welcome gifts to new hires and research new products as needed. 
  • Create training schedules and other materials in Canva as requested. 

Proposal Responsibilities 

  • Assist Proposal Specialist with:
  • Creating outlines, researching prior responses and organizing all information needed for proposals.
  • Drafting engagement letters, statements of work, contract amendments and other technical memorandums as required.
  • Providing and organizing staffing information for proposals.   
  • Other tasks as requested.

Other Tasks 

  • Serve as a backup to the Operations Project Manager as needed. 
  • Assist in reviewing billings as needed (as a back-up).
  • Perform additional duties as requested by management. 

Candidate Qualifications

  • Bachelor’s degree
  • Minimum of two years of proposal experience or Human Resources (preferred) 
  • Minimum of two years in marketing related role or content creation (preferred)

Jennifer Thelen, Life/Health Actuary
I have been at INS for a few years as a Life/Health actuary and could not ask for a better place to work. My responsibilities include but are not limited to evaluating the reasonableness of proposed premium rates, performing actuarial services for financial examinations, providing insurance department training, analyzing the impact of legislation, and assisting in any other special projects requested by our regulatory clients. Since joining INS, I have expanded my industry knowledge and gained a better understanding of the unique and rapidly changing challenges our regulatory partners face. Each project encourages me to continue learning and apply my actuarial skillset in creative ways to solve critical issues. Peggy Hermann, Life/Health Actuary
I joined the Life and Health Actuarial practice at INS in 2017. Since then, my primary responsibilities have been leading the actuarial involvement in financial examinations of life and health companies for numerous state insurance departments. I’ve found INS to be a place that values its employees’ professional and personal growth and encourages a level of work-life balance that is often not found at a consulting firm. I’ve been given the freedom to manage my projects as I feel as appropriate, but management and my co-workers are always available to provide support and advice when needed. The Life and Health actuaries meet online at least monthly and gather in person several times a year for professional development and social activities which helps maintain connections, as the office is fully remote. My move to INS over 6 years ago has had a positive impact on my career and personal life. I’ve had the opportunity to provide value to the financial examination teams and gain experience with different types of insurance products and projects. Even after 30 years in the insurance industry, I’m still growing as an actuary at INS.

Joseph Brennan, Life/Health Actuary
I am currently a Life/Health actuary at INS Consultants, Inc. (INS) and have worked at INS for over ten years. I enjoy working at the Company, primarily because of the importance of the work we do, the quality of our staff, and the flexibility provided by a full-time remote environment. We have a dedicated team of professionals, who support the critically important work of our regulatory partners at each insurance department, which INS serves. Although INS is a totally remote Company, we are in constant communication with our colleagues, as well as with our regulatory partners.
